Needle Sports are a United Kingdom of Great Britain (UK) retailer based in the Lake District in Northern England. We always reply to emails within 24 hours. If you haven't heard from us by then it is probable that the email hasn't got through. In that case, please ring us rather than email again.

Making a purchase:
Making a purchase is very easy. Imagine you a browsing around our shop with a shopping basket. You can put anything you like in the basket but you do not make a final decision on what you are going to buy until you reach the counter. This site works in the same way.
Simply choose the quantity requirer and click the "Add" button next to any item you wish to purchase.
Each item you pick will be added to your imaginary basket which can be viewed at any time by clicking the "Basket" button at the top of the page.
By highlighting any item in the basket at any time, you can alter the number selected or delete the item.
A running total of the cost of your purchases is kept.
When you are ready to buy, click the "Checkout" button and have your credit or debit card ready. Once you have entered your details there is an option to store all your details (except your credit card information) for use on future occasions. Your details will never be revealed to another party.
NB Please keep an eye on your emails in the days following your purchase, as we may email you regarding your order.

Stock Levels:

Stock Levels are indicated for almost all items. Whilst every effort is made to keep these as accurate as possible they will not be entirely so for several reasons. These are: a) Stock Levels are updated to the website once a day (ie they are not live). b) The computer may be lying anyway. c) Some-one else may have ordered the same item just prior to yourself.

However, most items, especially books and maps etc, are obtainable very quickly. Clothing though may be a bit hit and miss.

If an item is showing 0 or 1 in stock, don't let that stop you ordering, but if you need the item fairly quickly it would be best to ring us first to make sure that we can get it first.


Cost:

All our prices are in UK pounds sterling (£ - this symbol may not show up on your computer or may show up as a question mark (?)). A very approximate price is also given in US Dollars ($). To check a more up to date approximate exchange rate click here http://www.xe.com. For orders made from the UK or the European Union (EEC), 17.5% VAT (Value Added Tax - approximately 14.9% of the total tax inclusive cost shown) is included in the price of most items. Books and maps are currently exempt.

NB VAT will change to 15% from 1st December 2008.


Payment - Credit & Debit Cards, & Address details:

We accept most credit and debit cards (not American Express - sorry). Goods are charged at the rate that applies at the moment our bank processes the order, not at the moment you place it. We do not charge for any item until it is ready to send. Backordered items are not charged until they are sent. Your credit card information is sent over the internet via our secure encryptment service which is run by Actinic, one of the most used small business on-line shopping programs available. We know of no documented cases of credit card fraud using this shopping system over the internet. All credit card numbers are encrypted in the software when the order is placed using 128 bit encryption. They are only decrypted after they reach our computer. They are not held in clear text on any web site.

Remittance terms are that credit or debit card details must be sent with your order and that goods are charged prior to posting.

We regret that we cannot accept cheques for mail order items. This is because they involve considerable more work and cost to process than credit or debit cards. Also that you have to wait a week for them to clear, and that there is the problem of having to write a cheque and post a refund if part of the order cannot be fulfilled. All of this is time-consuming and completely needless in an age of Debit Cards.

To combat fraud it is essential that the first address that you give must be the address that your payment card is registered to. If it is not then we will not be able to process the order. You can still opt to have the goods delivered to a different address. If you wish to have goods shipped to a different address to your payment card address then please check the box on page 1 of the Checkout pages, where it says "If you want to ship the purchase to an address other than the invoice address, check this box."


Postage & Delivery Schedule:


POSTAGE
For our website we have opted for (mainly) free carriage rather than offer a discount to members of various clubs etc.

If your order is urgent, you can select Priority Service (UK only - £3.50). This means that your order is put to the head of the queue (and there can be over a 100 orders awaiting packing at any given moment), and that it will be posted either by Private Carrier, Special Delivery, 1st Class Recorded, or 1st Class. This should mean that you receive it within 1 to 3 working days maximum, but bear in mind that most of these postal services do not deliver on Saturday, Sunday or Bank Holidays. If we do not have the item in stock we will contact you immediately to advise you of this. Please note - this is not a guaranteed next day delivery, just we'll do our best to get things to you even quicker than normal. We regret that due to the high cost of speedy carriage to far-flung and offshore parts of the United Kingdom we cannot offer a Priority Service to these places which would include all the Scottish Isles except Skye, Isle of Man, Scilly Isles, The Channel Islands etc. If customers from any these areas need extra fast delivery we would be happy to get a quote from the Post Office (NB it will be expensive!). Please note that customers who write comments such as "Please send first class" or "must arrive by Friday" when they only ordered it on Tuesday will be deemed to have requested Priority Service and be charged £3.50 accordingly without us contacting them! Please also note that customers who include a shipping note such as "Please send via the Post Office as it's easier for me to collect" on an order that we would normally send by Carrier will be charged the difference in cost without us contacting them for approval - they will then speedily discover why we use a carrier for heavier items and not the Post Office!

NB1 "FREE POST"* Although UK postage is free on most items on this website, there are some low value items on the site which are relatively heavy and/or low profit where we have had to charge some postage or we would be sending them out at a loss - these are clearly labelled (they are mainly books and DVDs, plus items like finger boards). Books and other lightweight items are charged at a flat rate depending on weight (typically: 50p on very light books, £1 on most club style guides and DVDs, £2 on Rockfax and similar size guides and £3 for bigger books). These charges are waived if the order is Priority or is over £60, so if your postal charge on books is over £3.50, use the back button and select Priority Post! A few heavy items such as finger boards, and bulky items such as tent underlay attract an extra postage charge that will be applied regardless of other charges or whether the order is Priority or not.

NB2 Free postage is for the initial order only. Where boots etc are returned due to poor fit etc, we will charge postage at cost on their replacement. Also if you order goods and are not in to sign for them then you will be left a card asking you to contact the depot/sorting office to arrange a time for delivery when you will be there to sign for them. If you don't/can't/won't do this then the goods will be returned to us - we will charge you postage at cost on the subsequent delivery.

Goods are shipped, dependent on the size, weight, and value of the parcel via one of the following methods:

Standard Order:
Under £70 value at retail and will fit through letter box.

Royal Mail 2nd Class Post. Goods will not need signing for. This is not a next day delivery service. Royal Mail say "we aim to deliver your mail by the third working day after posting" - but be warned, it doesn't always work like that!
Priority Order:
Under £70 value at retail and will fit through letter box.
Royal Mail 1st Class Post. Goods will not need signing for. This is not a guaranteed next day delivery service, but Royal Mail say it "aims to deliver your letter or packet the next working day, including Saturday" - but be warned, it doesn't always work like that!
Standard Order:
Under £70 value at retail and will not fit through letter box.
Royal Mail 2nd Class Recorded Delivery. Goods will need signing for. This is not a next day delivery service. Royal Mail say "we aim to deliver your mail by the third working day after posting" - but be warned, it doesn't always work like that!

Royal Mail 2nd Class Recorded Delivery or 1st Class Recorded Delivery if it is a Priority Order. Goods will need signing for.

Over £70 value at retail, and under 500g in total weight.

Royal Mail Special Delivery. Goods will need signing for. This is a next day delivery service** in theory - but be warned, it doesn't always work like that! Priority Orders jump the queue of other orders.
Standard & Priority Orders:
Over £70 in value and over 500g in total weight. UK Mainland (nearly all of it).

For UK Mainland: City Link private carrier (check their website to see where your nearest depot is). Goods will need signing for - it is worth including a trusted neighbour's details where goods can be left (in the special instructions), or having them sent to your workplace, as getting goods sent by carrier redirected is very expensive - it will cost you an extra £8 - £15! Two attempts at delivery are included in your free post. Any extra attempts will be charged at £2.60 per attempt. This is a next day delivery service** in theory - but be warned, it doesn't always work like that! Priority Orders jump the queue.

Standard & Priority Orders:
Northern Ireland and all UK Islands.
If you live in the Chanel Islands, Isle of Man or any of the other UK Islands, then we will use Royal Mail Post or Standard Parcel Service, as the City Link is too expensive. Goods will not need signing for but they will be insured. This is not a guaranteed next day delivery service and a may take up to a week, longer if they lose it. Priority Orders jump the queue.

Overseas Deliveries (including the Channel Isles) will be charged at cost. Please see our page on Overseas Deliveries. However British Forces Posted Overseas (BFPO) will not need to pay a postage charge if the goods are posted to a UK BFPO forwarding address.

Pririty orders will normally be sent out on the day after you order it (or even the same day if you order early enough) provided it is in stock, though there will be a delay at weekends as the Post Office and Carriers don't work Saturdays, Sundays, or Bank Holidays, unless you pay them a king's ransom. It may take several days to post standard orders, depending on how long the order queue is. If an item you have ordered is out of stock and the wholesale suppliers have it available then it can take anything from 3 days to 2 weeks to reach us depending on how efficient that supplier is, whereupon we will post it on to you as soon as we can. If the suppliers do not have it, then it can take months. International orders can take a long time to be delivered unless you are willing to pay exorbitant air freight charges.

If it is not possible to dispatch your order to you reasonably speedily we will contact you by email (telephone for Priority Orders) to see what you want to do before proceeding. Please, when replying to emails from us, include all the previous email correspondence in your reply - it helps us enormously in tracing your order and dealing with your query promptly.

**Where we have put above "next day delivery", this is what the carrier claims the service to be. Generally they are correct in this, but in our experience the more urgent a consignment is the more chance there is of it it being misdirected or lost in transit. Every effort will be made to have your order with you as soon as possible but Needle Sports cannot accept responsibility for late or non-delivery spoiling a mountaineering trip or anything else. NB (again!) Goods will probably require signing for, so it is best to give a delivery address where you can be certain of someone being present to accept them.

For super urgent items it is possible to get guaranteed next day delivery before 9am etc using such services as 9am Special Delivery, Parcel Force Next Day am Delivery, and City Link Next Day by 9am. Needless to say such services don't come cheap, but we can quote for them for those who have really left it until the last minute. If it's really that urgent it's best to ring rather than email, as we don't check the emails all the time.


DELIVERY

Most orders will need signing for, so if you are not likely to be at home, please consider having it delivered to your workplace, or leave instuctions such as "Can be left at neighour's house at number 42" in the Special Instructions Box as you check out. The carrier's depot may be a long way from where you live so it is important that there is some-one available to sign for it or it may involve you in an expensive and time-wasting journey - please check where your nearest City Link depot is. If you request that a parcel be left anywhere where it will not be signed for (eg in your garage) and the carrier claims that they followed your instructions but the parcel has disapeared then that is your loss, not ours. Finally if you request that the parcel be left somewhere where it can be signed for by someone else and the carrier does this but you can't then find the parcel then this again is your loss. In other words you are responsible for your instructions, not us if we have followed them correctly.

Receipts will be sent with the goods to the delivery address - if it is a gift and you don't want receipts included please say so in the Special Instructions Box as you check out. We will then retain your receipt here with a copy of your order.


Back Orders:
If your item is not in stock and it is not possible to obtain it within 14 days, we will contact you to see whether you wish us to back order for you or not. If we cannot contact you for any reason then we will assume that you do not wish it back ordered.

Discounts:
Personal callers at our shop who are members of the British Mountaineering Council, the Mountaineering Council of Scotland, the Mountaineering Council of Ireland, or of an affiliated club, and can show us a valid membership card, are eligible for a 10% discount on all purchases except for books, maps, videos, DVDs, CDs, special offers, sale items and certain low margin electrical goods. This discount is not available on mail order, as with free UK postage, and many of our items already heavily discounted, we do not give discounts except on substantial orders. Please email us if you are considering placing an order over £1000 in value. We do not give discounts to other clubs or organisations.

Sizing:
All our boot sizes are in UK (7, 7.5, 8 etc) or European Sizes (41, 42, 43 etc). These are different from USA sizes. Boot sizes vary from manufacturer to manufacturer and even between different models from the same manufacturer. Click for a Size Conversion Chart. Clothing sizes where given are often in inches (eg 24"). One inch = aproximately 2.5cm. The clothing sizes S, M, L etc vary enormously in actual size from one manufacturer to another. The best rule is if in doubt do not order!

Returns:

You can return any non-faulty goods within one month* for a no quibble refund, provided that they are in our opinion complete with their packaging in as new condition. All you pay is the return postage. But please note we cannot be responsible for goods that do not reach us, so some insurance might be a good idea! A Certificate of Posting (available free) covers cheaper items, otherwise use Recorded Delivery, Special Delivery or Parcel Force, all of which can be insured for a small cost - ask at the Post Office. If requesting a replacement size because you have ordered incorrectly, then the postage on the replacement will be charged for. This does not apply though to items made especially to your order ie Rab sleeping bags with extra down, Buffalo made to measure, Laminated Maps etc - such items cannot be returned.

* Unused non-faulty items that have been in your possession for more than one month may be returned at our discretion (this will largely depend on whether the item is still a current model or not and whether it is still one that we stock). If the items were originally sent out to you post free we will refund the cost minus the cost to us of the original postage. Please contact us prior to returning any such goods.

Dodgy Returns: rockshoes, boots, clothing etc, in fact all non-faulty returned items, must be completely unused. We have had rockshoes returned with chalkdust on them, boots with mud in the tread, and clothing with sweet wrappers in the pockets. Dishonesty is a rather unpleasant facet of human nature, particularly when combined with greed, and by way of punishment such returns will not be credited and will only be posted back if the customer agrees to pay the postage.

Faulty goods can be returned at any time - please contact us first (017687 72227, info@needlesports.com). Please note that the final decision as to whether the goods are faulty rests with the manufacturer. If the goods are accepted as faulty then they will be repaired or replaced and we will refund your postage within the UK to a reasonable amount (ie if you have used Data Post when you could have used Parce Force then we will refund what you would have paid had you used the cheaper option!) - NB we cannot accept any claim for any other extra costs involved arising out of a faulty item, other than return postage). We regret that, because many faulty goods will need to be posted back to the manufacturer and await their decision, this can be a rather lengthy process, and the bigger the manufacturer, the longer it seems to take. Overseas customers please note that we will only refund postage on items that are very obviously faulty when they are received (eg books with pages bound in upside down). Items that develop faults after they have been used will not have their postage credited however much it may seem to you to be the manufacturer's fault - please consider this before ordering!!

PLEASE NOTE!: On all returns, used clothing and boots must be CLEAN, and this includes the tread of boot soles. Items returned in a smelly, dirty, or damp state will not be dealt with and will be left for the owner to collect at their own expense!

PLEASE ALSO NOTE: We cannot do anything about your return if we don't know who you are, why you are returning the goods or when you bought them - please include all this information in the parcel, if possible with your original order number. It is astounding how many returns we receive with insufficient, illegible, or no information whatsoever regarding the sender and/or what the problem is with the goods - we are far too busy I'm afraid to indulge in lengthy detection searches to try and work out this information from our records (and your name and address alone is not enough), so in future all such inadequately documented parcels will be assigned to a little frequented spot in the office where they can gather dust and cobwebs in peace until the sender eventually realises that nothing has been done about it and contacts us! The contents of any such parcels that have loitered there for a year without being claimed will be thrown away/given away/ or sold to raise money for NECCR, whichever we deem most appropriate.

While every effort is made to maintain the information on this website as accurately as possible, mistakes can and do occasionally happen. If we have mispriced a product we will inform you and give you the option to cancel the order.
